Auto-Book Appointments With AI: Soara + Cal.com Integration Guide

One of the most powerful things an AI voice agent can do is take a caller from "I'm interested" to "confirmed in the calendar" — without the caller ever leaving the phone call or waiting for a human to follow up.
This tutorial walks through setting up the Soara + Cal.com integration, so your AI agent can check real-time availability and book meetings during live calls.
What you need before you start
- A Soara account with an AI voice agent configured (any plan)
- A Cal.com account — free plan works for basic booking, paid plan for team features
- A Cal.com event type set up (e.g. "30-minute consultation")
- Your Cal.com API key from Settings → API & Webhooks
Step 1 — Set up your Cal.com event type
In Cal.com, create the event type your AI will book. Give it a clear name, set the duration, define your available hours, and add any screening questions you want callers to answer. These questions will be prefilled by the AI from the call conversation.
- Go to Event Types → New Event Type → One-on-One
- Name it something clear: "Sales consultation", "Property viewing", "Medical intake call"
- Set your availability windows and buffer times
- Under Advanced, enable "allow guests to add notes" — your AI can use this to pass call context
Step 2 — Connect Cal.com in Soara
In your Soara dashboard, navigate to Integrations → Calendar → Cal.com. Enter your API key and select the workspace. Soara will fetch your available event types. Select the event you want this agent to book.
Step 3 — Update your call script to trigger booking
The AI needs to know when to initiate the booking step. In your call script, add a booking trigger at the natural moment — typically after the caller confirms interest.
- Add a "book_appointment" action node in the Soara call flow builder
- Set the trigger condition: e.g., caller says "yes", "sure", "sounds good", or similar
- Configure what information to collect before booking: name, email, optionally phone
- The AI will check Cal.com availability in real time and offer two or three slots
- When the caller picks a slot, the booking is confirmed automatically in both Cal.com and Soara
Step 4 — Configure post-booking actions
Once a booking is made, you can trigger additional automations:
- Cal.com sends its standard confirmation email to the booker
- Soara can trigger a WhatsApp confirmation message via your integrated number
- Soara logs the call outcome and booking details to your CRM (HubSpot, Zoho, GoHighLevel)
- A reminder call or SMS can be scheduled 24 hours before the meeting

Step 5 — Test your full call flow
Before going live, call your agent's number and walk through the booking experience as a caller. Check:
- The AI correctly identifies booking intent and initiates the flow
- Available slots are accurate and match your Cal.com calendar
- The booking confirms in Cal.com immediately after the call
- Confirmation details are passed correctly (name, email, any notes from the conversation)
- Edge cases: caller declines all slots, caller doesn't have their email, caller wants to reschedule
Troubleshooting common issues
The most frequent issues and how to resolve them:
- Slots not showing up → Check your Cal.com timezone matches your Soara account timezone
- Booking not logging to CRM → Verify CRM integration is active and field mapping is correct
- Confirmation email not sending → Check Cal.com email settings and spam filters
- AI not triggering booking → Review your trigger conditions — add more natural language variants
